Define Information Assets: Option 3: Assistant Recommendations

Assistant Recommendations

If you don't have an existing record of Information Assets in your organisation, or you need some inspiration for new ones, the AI Assistant can come up with them for you. From this screen, the Assistant bases its suggestions mostly on the optional guidance that you provide, but also takes into account information about your organisation.
You can provide information about the kinds of services offered, or the types of data your organisation typically deals with.
  1. If the Options section is not open, click on it to expand the available Options.
  2. Click on 'Option 3: Assistant Recommendations'
  3. Enter the optional guidance to the AI Assistant.
    The optional guidance provide provides the context and information the AI Assistant will use to propose the suggested System Assets. For example, if you have a specific list of system names, providing these should result in a corresponding list of System Assets with appropriate descriptions.

  4. Click the 'Suggest Assets' button
  5. This brings up the 'Select from Suggested Information Assets to Create' dialog.
  6. Check the box to 'Allow Data to be Sent to OpenAI for Analysis', which will enable the 'Generate' button.
  7. Click the 'Generate' button
  8. Wait. This can take a while.
  9. Once the suggestions are ready for review, select each one to create by clicking each one.
    To select them all, click the first one to select it, then hold down shift and click the last one to select everything in between.
    To select individual rows one at a time, hold down control (Windows) or command (macOS) and click each row.
    To deselect individual rows, hold down control (Windows) or command (macOS) and click each already selected row to deselect it.

  10. Once all of the suggested rows you wish to create are selected, click the 'Select' button.
  11. Repeat steps 1-10 until all Information Assets have been defined. This can be revisited later if necessary.
  12. If none of the suggestions provided are suitable, go back to step 4 by clicking the 'Generate' button again to get a new set of suggestions to review.
    You can tweak the guidance provided each time (step 3), however each submission is a new request that does not take into account prior requests, suggestions or guidance. The Assistant will not duplicate suggestions that you have previously accepted and/or created, but it may duplicate previously ignored suggestions.
